A letter of enquiry

Learn how to write a formal letter asking for information.

What is a letter of enquiry? A formal letter written to ask for detailed information: about a course, an event, a trip. The language is formal and specific.

Layout (always the same):

  • your address, then the date;
  • the receiver's address;
  • the subject line, after the receiver's address: 'Subject: Enquiry about a School Visit to a Memorial';
  • 'Dear Sir,';
  • the body (three paragraphs);
  • 'Yours sincerely,' and your name. (Never 'Your's': there is no apostrophe.)

Paragraph 1: the purpose. Say why you are writing, in a sentence or two: 'This is to enquire about…' or 'Could you please provide details about…'. Say who you are and what your school plans.

Paragraph 2: the questions. Make them clear and easy to answer, one by one: 'Firstly, I request you to share… Secondly, I would appreciate it if you could explain… I would also be grateful to get further details on… Lastly, could you clarify if…'

For the memorial visit, ask about:

  • the available dates for visits;
  • how long the tour lasts;
  • any entry fees;
  • the rules for student groups.

Paragraph 3: ask for an early reply, and say why. 'An early reply will be greatly appreciated, as it will help us finalise our schedule.' 'I look forward to your guidance and support for making this trip meaningful.'

Two tips:

  • ask clear questions: vague questions get vague answers;
  • keep it short: four precise questions will be answered; a page of rambling may not.
Four clear, numbered questions get four answers; a page of rambling gets none.
